1Question

Tell me about a time you coached an underperforming administrator to improve their output — what was your approach and what was the outcome?

Situation: A mid-level DB administrator on my team of eight was producing calculation errors on roughly 1 in 12 cases, generating client complaints. Task: As team leader, I needed to bring their accuracy rate in line with the team standard of fewer than 1 error per 50 cases within one quarter. Action: I introduced weekly one-to-one sessions reviewing their error logs, paired them with a senior administrator for complex manual calculations, and created a personal checklist for multi-tranche benefit cases. I also adjusted their workload temporarily to allow consolidation of core skills. Result: Within 10 weeks, their error rate dropped to 1 in 45 cases, client complaints linked to their work ceased entirely, and they subsequently passed their internal DB competency assessment.
2Question

Describe a situation where you had to manage a difficult complaint from a trustee or corporate client. How did you resolve it?

Situation: A trustee board raised a formal complaint after a pension increase was applied incorrectly to 47 members of a DB scheme, resulting in overpayments totalling £6,300. Task: I was responsible for leading the investigation, communicating with the trustees, and preventing recurrence. Action: I convened an urgent review within 24 hours, identified a formula error in the calculation template, and personally briefed the trustee chair with a written root-cause analysis and remediation plan. I coordinated the recalculation of all 47 cases within five working days and arranged adjusted payroll entries for the following month. Result: The trustees accepted the remediation plan without escalation, overpayments were fully recovered within two payroll cycles, and the corrected template was rolled out across three other client schemes, preventing similar errors.
