1Question

Tell me about a time you had to manage multiple priorities simultaneously in a busy operational environment.

Situation: During a peak despatch period at my previous employer, I was simultaneously managing 45 open customer orders, coordinating with 3 freight providers, and updating daily shipment reports. Task: I needed to ensure all orders were despatched on time while keeping the supply chain data accurate for the afternoon management review. Action: I created a priority matrix in Excel, colour-coded by despatch deadline, and set hourly check-ins with the warehouse team to flag any pick delays early. I batched freight booking confirmations to avoid duplication errors. Result: All 45 orders were despatched within their agreed windows, and the KPI report was delivered 30 minutes ahead of the review with zero data discrepancies.
2Question

Describe a situation where you identified an opportunity for process improvement in a supply chain or admin function.

Situation: At my previous role in a logistics team, I noticed that freight quotation requests were being sent individually by email to 5 carriers, causing a 2-day turnaround on booking confirmations. Task: My manager asked me to investigate whether we could speed up the process without increasing cost. Action: I built a standardised Excel quotation template that could be sent to all 5 carriers simultaneously, with a structured response column for easy comparison. I also set a 24-hour response deadline in the covering email. Result: Average quotation turnaround dropped from 2 days to 18 hours, and the team saved approximately 3 hours per week previously spent chasing individual responses.
