1Question

Tell me about a time you had to organise a complex task or event from start to finish — what was your approach?

Situation: I volunteered to coordinate a charity fundraising evening for 80 guests with a £600 budget and a 6-week lead time. Task: I was responsible for booking the venue, managing 7 volunteers, and ensuring all activities ran to a tight schedule. Action: I created a simple project plan in a shared spreadsheet, assigned clear ownership to each volunteer, and held a 15-minute check-in every Friday to track progress against 10 key milestones. I also built in a two-day buffer before the event for final preparations. Result: The event ran on time, came in £45 under budget, and raised £1,850 for the charity — 23% above our original target.
2Question

Describe a situation where you had to adapt your plans because something unexpected changed.

Situation: While organising a team training day at my previous employer, the venue cancelled with only 5 days' notice, leaving 18 colleagues without a confirmed location. Task: I needed to find an alternative venue, rebook catering, and communicate the change to all attendees without disrupting the agenda. Action: I contacted 6 alternative venues within 24 hours, secured a local conference room at short notice for £200 less than the original booking, and sent a clear update email to all 18 attendees with revised joining instructions. I also updated the printed schedule and briefed the facilitator on the room layout change. Result: The training day proceeded on the original date with no sessions cancelled and attendee feedback averaged 4.6 out of 5.
