1Question

Tell me about a time you had to manage competing administrative priorities in a busy office environment — how did you decide what to tackle first?

Situation: During a particularly busy period at my previous role in a community health charity, our team of three was reduced to two due to illness, coinciding with a quarterly data audit deadline. Task: I needed to maintain daily reception cover, process 80 incoming documents for the audit, and respond to urgent queries from the training team — all within the same week. Action: I created a priority matrix each morning, handling time-sensitive reception duties in the first hour, batching data input during quieter mid-morning periods, and setting aside 30 minutes each afternoon for the audit. Result: The audit was submitted on time with full GDPR compliance, and reception coverage was uninterrupted throughout the week.
2Question

Give an example of when you identified an improvement to an administrative process and took the initiative to implement it.

Situation: At a previous office administrator role, stationery ran out frequently mid-month, causing disruption to frontline staff. Task: I was responsible for stock management but had no formal reorder system in place. Action: I designed a simple weekly stock-check spreadsheet in Microsoft Excel, set minimum threshold alerts for 12 key items, and established a standing order with the supplier for the top five most-used products. I presented the system to my line manager and received approval to roll it out within a fortnight. Result: Stock shortfalls dropped from roughly six incidents per month to zero over the following three months, and the team reported noticeably fewer interruptions to daily operations.
