1Question

Tell me about a time you had to handle a difficult or upset visitor at a reception desk — how did you manage the situation?

Situation: A service user arrived at our office visibly distressed, demanding to speak with a manager who was in a meeting. Task: I needed to de-escalate the situation calmly while maintaining the professional environment of the reception area. Action: I greeted the visitor warmly, offered them a seat and a glass of water, and explained the manager's availability clearly. I took a detailed note of their concern and contacted the manager via instant message to flag urgency. Result: The manager was able to step out within 8 minutes. The visitor later emailed to thank the team for the prompt and respectful response. The incident was logged and used in our next team briefing as a best-practice example.
2Question

Give an example of when you demonstrated initiative to improve an office process or solve a problem without being asked.

Situation: Our shared drive had grown to over 2,000 unsorted files, making document retrieval slow and inconsistent across a 25-person team. Task: There was no formal owner for the filing system, but the inefficiency was causing delays in onboarding new staff. Action: I mapped the existing folder structure, proposed a new GDPR-aligned naming convention, and spent 3 days reorganising the archive during quieter reception periods. I then created a one-page reference guide distributed to all staff. Result: Document retrieval time dropped from an average of 7 minutes to under 2 minutes, and the team lead formally adopted my guide as the office standard within the month.
